Editorial Request Procedure

 

The Communications and Public Relations Department provides the service of writing comprehensive news articles over University related events to be disseminated across various media platforms, promoting AURAK in efforts to keep the public up-to-date on AURAK news and boost student enrollment.

Selecting The Appropriate Editorial Request Form

  • There are thirteen editorial request forms tailored to acquire the necessary information required for writing a comprehensive article over each type of event: Academic Competitions, Celebrations/Holidays/Parties, Ceremonies, Community Service Initiatives, Dignitary and Delegation Visitations, Donations and Scholarships, Meetings, MoUs, Public Lectures, Sports, and Workshops. The first step is to decide which form serves the purpose of your event.

 

    • Academic Competitions – Any kind of AURAK sponsored competition associated with one of the four schools-the School of Arts and Sciences, the School of Business, the School of Engineering, or the School of Graduate Studies and Research-should use this form. With the exception of Sports, competitions organized by Student Life should also use this form when requesting an editorial.
    • Celebration/Holidays/Parties – Any type of celebration, holiday, party, or XXXX should fill out this form.
    • Ceremonies – Any type of religious ceremonies, graduation, XXXX, XXXX held at or participated in by AURAK should fill out this form. (Please note that if the ceremony is part of an MoU signing, this form should NOTbe used. Fill out the MoU form and list the ceremony as an activity on the MoU Itinerary.)
    • Community Service Initiatives – Any type of community outreach program with AURAK involvement such as hospital visits, blood drives, etc. should fill out this form.
    • Dignitary and Delegation Visitations – Any type of visit from Sheiks/Sheikahs, diplomats, representatives from international and strategic partnerships and accreditation agencies, etc. should fill out this form.
    • Donations and Scholarships – Any type of donation or scholarship gifted to AURAK should use this form.
    • Meetings – Any type of AURAK meeting should use this form.
    • MoU – Any type of strategic or international partnerships should use this form.
    • Public Lectures – Any type of public or private lectures such as research colloquiums, visiting professors, or invited professional guest speakers should use this form.
    • Sports – There are three different editorial request forms for sports: Individual Sports Competitions, Team Sports Competitions, and Tournament Sports Competitions.
    • Workshops and Conferences – Any presentation in which a skill is being taught to the crowd such faculty development or seminars.

 

Submitting A Request For An Editorial

  • Please email the line manager requesting an editorial including the correct completed form, promotional literature concerning the event, and indicate whether the event will be in English or Arabic. If submitting your request after your event has taken place, please provide pictures from the event (Instructions should be provided explaining where this page will be linked to/from). Remember, the sooner the request is made, the better chance office representation at your event.

 

What To Expect The Day Of The Event

  • The Writer/Editor and office representatives will attend your event, take notes, and interview event participants. If you are submitting your request after the event has taken place and have quotes from event participants, please write the quote, the person being quoted, and a brief explanation of the person’s involvement in the event in the Miscellaneous Box located at the bottom of each form.

 

Article Writing And Publication

  • While the more information you provide in the form will result in higher quality articles, it is important to remember that different publishing platforms carry different word count limitations. The Writer(s) will do their best to condense as much of the information as possible into the article, but there is no guarantee that all of the information will be used in the article. The significance of the information will be prioritized by the Line Manager according to the best interest of the University.
  • The media platform in which the article will be published is up to the discretion of the Line Manager and will be based on the best interests of the University.
  • Unfortunately, we cannot quote a timetable in which the article will be written and published as it will be subject to multiple variables such as the number of University events occurring and media publishing schedules. We will do our best to get the article written and published as soon as possible.
  • Articles will not be published until approved by the Line Manager.
